A sales representative reviews the account, checks the last interaction, considers the offer, and writes a message. Generative AI can assist with the writing step by producing a first draft from structured and unstructured CRM data.

A large language model, or LLM, is a type of AI model that generates text based on patterns learned from large volumes of language. In a CRM context, it may use prompts that include account name, contact role, product interest, opportunity stage, meeting notes, previous correspondence and internal guidance.

The potential value is not only speed. Used carefully, generative AI can help commercial teams:

  • improve consistency in follow-up after meetings;
  • reduce delays between customer interaction and written response;
  • help junior sales staff apply approved messaging;
  • tailor emails by sector, role and opportunity stage;
  • reduce time spent rewriting routine communication.

For example, a medical equipment supplier selling into private hospitals may need to follow up with procurement, clinicians and finance teams after the same product demonstration. This matters even when the AI feature is embedded inside an existing CRM platform.

Commercial teams also need to respect consent and communication preferences. If a customer has opted out of marketing communication, AI must not become a new route to bypass that preference. If a salesperson uses CRM notes from a service complaint to generate a cross-sell message, the business should ask whether that use is fair, expected and aligned with the original purpose of collection.

A defensible approach includes:

  • clear rules on which CRM fields may be used in prompts;
  • exclusion of sensitive notes unless specifically approved;
  • consent and opt-out checks before draft generation;
  • role-based access aligned to existing CRM permissions;
  • an audit trail showing the source data used, the generated draft, human edits and final send decision.

Monitoring should cover both performance and risk. Commercial leaders need to know whether AI-assisted drafting improves outcomes. Risk leaders need to know whether it creates inappropriate messages, privacy issues or customer complaints.

  • customer response and conversion metrics;

  10. What evidence will we take to the board or audit committee if challenged?

These questions are not designed to slow innovation. They are designed to prevent a promising use case from becoming an uncontrolled messaging engine.
